Receive, organize, and distribute incoming physical mail, emails, and other business documents, and coordinate internal and external communication. · Assist in processing supplier orders, purchase documents, and receiving records to ensure timely product replenishment, and follow up on inventory restocking and inventory reports. · Be responsible for ordering office supplies and certain store operational materials, and maintaining related inventory records to ensure smooth daily operations. · Establish and maintain both manual and electronic filing systems, including procurement documents, supplier records, customer files, and daily operational documents. · Collect and organize data to support store operational analysis and management decision-making. · Schedule and confirm appointments, interviews and meetings for the employer, and record meeting minutes when required. · Receive visitors, including suppliers, customers, and business partners, determine the purpose of their visit, and direct them to the appropriate person. · Develop and improve office and store administrative procedures to enhance operational efficiency. · Organize and maintain important store documents, including business licenses, lease agreements, insurance documents, and other key records. Maintain key store documents and assist with documentation for inspections and license renewals. · Assist with posting job advertisements and provide orientation and training to entry-level employees when required. Experience: At least one year of previous clerical or office administration work experience is required. Skills -Ability to work independently and support store management in a fast-paced environment. -Ability to prepare correspondence, invoices, reports and other business documents. -Proficiency in MS Office, electronic mail, point of sale system, database software, adobe photoshop and electronic scheduler. -Knowledge of inventory and point-of-sale. -Strong organizational, time-management and multitasking abilities. -Ability to handle confidential business and employee information. -Ability to maintain electronic and paper filing systems. -Strong written and verbal communication skills.
